How to track gym membership renewals

What you actually need to track
Whatever method you use, four things matter for every member:
- Their plan and its price.
- The start date (so an expiry date can be worked out).
- Whether the last renewal was paid, and when.
- Whether they've been contacted about their upcoming or lapsed renewal.
The spreadsheet method
A spreadsheet with one row per member and columns for plan, start date, and expiry date works, especially for a small roster. The expiry date can be a formula off the start date and plan length.
The gap is usually not the data itself, but turning it into action: spreadsheets don't sort themselves into "who do I need to contact today" without someone manually filtering or sorting every time.
Setting up a renewal queue
Whether in a spreadsheet or software, a renewal queue is really just a sorted view: soonest-expiring first, with expired memberships kept visible until resolved rather than deleted.
The moment this gets useful is when more than one person needs to check it — a shared, sorted view removes the need for anyone to ask "who's due this week?"
Recording payment status
A renewal isn't complete until a payment is recorded against it — otherwise there's no way to tell a genuinely renewed member from one who just hasn't lapsed yet.
Keep the amount and date with each payment, even for cash, so the record matches what actually happened.
When it's time to move past a spreadsheet
A spreadsheet stops being enough when any of these happen: renewals start slipping through despite your best effort, more than one person needs to check who's due, or you can no longer estimate at a glance how much renewal revenue needs attention this week.
